New U-M Online Directory Policy: Groups Must Be Renewed Yearly
If you own groups in the U-M Online Directory, you will be required to renew them on a yearly basis under a new policy implemented February 19 by ITCS.
The new policy is designed to reduce the amount of spam that people receive through their membership in obsolete directory groups.
All existing directory groups have had expiry dates set for a year from now. Unless renewed, they will begin expiring in February 2008. ITCS will send an e-mail message with information about the new policy to all current group owners sometime between now and early April.
Group owners do not need to do anything now. They will be notified through e-mail 90 days before their groups expire. These messages will begin going out in October 2007. If group owners do not renew their groups at that point, they will receive another, final renewal reminder 30 days before expiry.
Anyone who creates a new directory group via the web will see a notice about the need for yearly renewal on the page confirming that the new group has been created.
Complete instructions for managing your group(s), including renewal instructions, are in Managing Groups that You Own in the U-M Online Directory (S4277).
Information about the directory group expiry policy is in Directory Group Expiry Policy (R1455).
If you own directory groups, ITCS asks that you take a few minutes to review them and delete any that are no longer needed. This will stop those groups from receiving spam, and it will reduce the number of groups you need to renew later.
How to See a List of Groups that You Own
- Go to the directory (http://directory.umich.edu/).
- Search for your own entry.
- Click the Bind button and log in with your uniqname and UMICH Kerberos password.
- Click the Show Ownership button.
- A list of the groups you own will be displayed. You can then renew or delete any of those groups.
TIPS:
If a group has multiple owners, please check with the other owners before deleting it.
If you don't recognize a group name, click it to see the group's entry before you delete the group. Some groups have multiple also known as names, but only the original name will appear in your list of owned groups. You may know the group under one of its also known as names.
