Using web.mail.umich.edu: Address Book

NOTE: A May 2008 upgrade to web mail provided some enhancements, cosmetic changes, bug fixes, and a couple of new features. See May 2008 Changes to Web Mail for more detail. The screen shots in this document were made prior to that upgrade, so you may notice some minor differences between them and what you see on your screen.
This document describes how to use the address book inside web.mail.umich.edu. The address book in web.mail.umich.edu lets you maintain your own list of e-mail addresses. You may find the address book useful if you correspond frequently with people outside the University whose addresses are not in the U-M Online Directory. You can also use it to set aliases for people that you can then use as short cuts for their addresses when sending them e-mail.

Opening Your Addressbook
- In the icon bar at the top of the page, click the Address Book icon.
- Your address book will open. If you have not yet added any entries to your address book, the page will be blank.
Adding People to your Address Book
From within an e-mail message:
- Click the Address Book icon next to an e-mail address to add that address to your address book.

- You will see a confirmation message that the address has been added.
If you want to add information, such as a nickname or postal address, to the new address book entry, you can edit the entry. Only the available information, such as e-mail address and possibly name, will be added for now.
From the address book:
- Open your address book by clicking the web.mail.umich.edu Address Book icon in the icon bar at the top of the page.
- In the address book icon bar, click Add.

- Enter contact information for your entry. At a minimum, you should enter a name and e-mail address.
The new entry will be added to your address book.
Opening an Address Book Entry
- Open your address book by clicking the Address Book icon in the my.umich.edu icon bar at the top of the page.
- Open an entry by clicking the person's name. (Do not click the e-mail address; that will open a new message addressed to the person whose address you clicked.)

Working with Groups in your Address Book
You can create e-mail groups from the entries in your address book. Before creating a group, make sure that you have an entry for each person you want to include in your address book. Note that web.mail.umich.edu refers to groups as "distribution lists."
Creating a Group
- In your address book, check the checkboxes next to the people who you want in your group.

- From the Add to pop-up menu, select New List.

- Click the Add to link.

- Type a name for your group/distribution list, then click OK.
NOTE: Different web browsers may present this dialog box somewhat differently (Firefox is shown here), but all will give you a space for entering your group name.
- Your new group/distribution list appears in your address book.

Changing the Name of a Group
- Click the Edit icon next to the group name.

- Make your change.
- Click the Save button.
Adding People to a Group
- Select the person you want to add by checking the checkbox next to that person's entry.
- From the Add to pop-up menu, select the name of the group/distibution list to which you want to add that person.
- Click the Add to link.
Deleting People from a Group
- Click the group name.
- In the list of group members (called "contacts," check the checkboxes next to the people you want to remove from the group.
- Click the Remove from this list link (at the top left of the list of group members).
Deleting Address Book Entries
- Check the checkboxes by the entry or entries that you want to delete.
- Click the Delete link.
You'll be asked to confirm that you do want to delete the entries. The entry or entries will be deleted, and you will be returned to your address book.
Editing Address Book Entries
- Click the Edit icon next to the entry to you want to edit. The Edit icon looks like a piece of paper with a pencil over it.

- Make whatever changes you want to the entry.
- Click the Save button to save your changes.
Sending a Message to Someone in Your Address Book
From the address book
- In your address book, click the address of the person to whom you want to send e-mail.

- The Message Composition window will open, with the To field already filled in for you. Write your message and send it as usual.
While composing a message
- In the Message Composition window, click the Address Book icon.

- In the Contact List window,
- Select the person(s) to whom you want to send mail from the list on the left side of the window.
- Click the To>> button to enter the selected address(es) in the To field of your message. (Click Cc>> to enter the address(es) in the Cc field, and the Bcc>> button to enter them in the Bcc field. "Cc" stands for "carbon copy" and "Bcc" stands for "blind carbon copy.")
- Click OK.

You will be returned to the Message Composition window, with the addresses filled in.
Using Names Instead of Addresses
You can make it quicker and easier to send mail to people in your address book by including their name and perhaps an alias in their entries. For example, if your motherŐs address is mymom@aol.com, you can enter an alias of "mom" in your address book entry for your mom. Then you can type "mom" in the To field of a new message and let your address book fill in the complete address for you.
- In the Message Composition window, type a name or alias (that you have already entered in your address book) in the To field of the message.
If you use Microsoft Internet Explorer or Mozilla Firefox (and possibly other web browsers as well), web.mail.umich.edu will be able to check your address book and fill in the full address for you when you move your curser to another field on the page. If you use Netscape Navigator, continue with Step 2 below.
- Click the Expand Names icon. (Required only if you use Netscape Navigator.)
ATTENTION NETSCAPE USERS! You must click Expand Names to get the full address. If you do not click Expand Names, web.mail.umich.edu will add @umich.edu to the nickname instead of using your address book.
- Web.mail.umich.edu will look in your address book for the name and then add the appropriate address to your message.

Searching Your Address Book and the U-M Online Directory
- From within your address book, click Search.

- Select and enter your search criteria:
- From the Find menu, select whether you want to search by name, nickname/alias, or e-mail address (if you are searching your address book), or search by name or uniqname (if you are searching the U-M Online Directory).
- In the Matching field, type the text you want to search for.
- From the From menu on the right, select whether you want to search your address book or the U-M Online Directory.
- Click the Search button at the far right.
Your search results will be displayed.
