MCommunity Sponsorship Administration Policies and Agreement
Sponsorship administrators create online identities in MCommunity, using the MCommunity Sponsor System, for people whom their unit or department is willing to sponsor. They also obtain uniqnames for those sponsored individuals.
This document explains the responsibilities of sponsorship administrators, lists the requirements for that role, and includes an agreement form that must be filled in and signed before someone can become a sponsorship administrator.

Abilities of Sponsorship Administrators
- Create identities for sponsored individuals in MCommunity.
- Create uniqnames for the people they sponsor.
- Sponsor individuals who already have entries in MCommunity.
- Reset passwords for sponsored individuals in the unit(s) for which they are authorized to do sponsorship administration.
This password resetting ability only applies to people who do not appear in the official faculty, staff, or student data feeds to MCommunity—that is, people whose affiliation with the University is only as a sponsored individual. Faculty, staff, and students can have their passwords reset by the ITS Accounts Office over the phone.
Responsibilities of Sponsorship Administrators
You are to use the MCommunity Sponsor System for its intended purpose—the creation and management of digital identities for sponsored individuals—only. You can use the system and the data within it to perform your U-M job duties. You may not share the data with anyone else unless they have a U-M work-related need to know it.
Those with sponsorship administrator access to MCommunity must use their elevated system access responsibly. By virtue of becoming a sponsorship administrator, you accept the following responsibilties:
- Protect against unauthorized access.
The fact that your uniqname and password can be used to gain access to the MCommunity System means that you must be especially careful about your password. Choose a secure password that is not easily guessed. See Choosing and Changing a Secure UMICH Password (R1162) for details. Also, be sure to log out of the Sponsor System whever you leave your computer so that others cannot gain access to it.
- Provide true and accurate identity information.
When you create an MCommunity sponsored identity, you are responsible for ensuring that the information you enter represents a real person who is authorized by your department to become a sponsored member of the University community. You may also create a sponsored identity to use as a test ID for short-term testing of your own departmental systems. Be aware that an automated auditing system will log all ID creation in MCommunity.
- Protect people's privacy by keeping their personal information private.
The Sponsor System allows you to search administrative data about members of the U-M community so that you can avoid creating duplicates of identities that are already in the system. This information is made available to you only so you can perform your job duties; it must be protected. You are expected to follow all relevant policies concerning access to administrative data.
- Maintain the sponsored identities that you create. This means you must set appropriate expiration dates so that when sponsored individuals are no longer part of the U-M community, their MCommunity identities will expire. (The Sponsor System will provide a default expiration date during the identity creation process that you can modify as needed.) Sponsorship administrators are also reponible for renewing sponsored identities that their unit or department wishes to have extended beyond the original expiration date.
- Follow all applicable U-M policies.

Becoming a Sponsorship Administrator
To use the Sponsor System, you will need
- A uniqname and UMICH Kerberos password.
- An MToken.
Sponsorship administration privileges will expire unless renewed regularly. Sponsoring authorities will be asked, on a regular basis, to renew their authorization of sponsorship administrators. When the Sponsor System is released, expiration of sponsorship administration will not yet be implemented. Sponsorship administration expiration and renewal will be introduced in the future.

Change of Departments Form
If the departments/department codes for which you do sponsorship administration change, please fill out an MCommunity Sponsorship Administrator Change of Departments Form and fax it to the ITS Accounts Office at (734) 647-4278. The Accounts Office will need to enter or remove the changed department codes for you in the Sponsor System.
