How do I view a shared or delegated calendar?

To view a shared or delegated calendar, the calendar owner must have given you access to it. If you cannot access a shared or don't know the name of the calendar account, you'll need to contact the account's owner.

NOTE: ITCS is currently migrating users from an older version of Exchange (Server 2003) to the most current version — Exchange Server 2007. How you access shared folders depends on which server your account resides upon. If you do not know, please refer to Which Exchange Server am I on?.

Exchange Server 2003

    Enter the following URL into your browser.
    NOTE: If you are not already logged on to OWA, you'll receive the login window first. Use your uniqname — not the shared calendar name — and your Exchange password.

      https://exchange.umich.edu/exchange/<shared-calendar-name>/calendar

    Replace <shared-calendar-name> with the name of the calendar account.

    • For a personal calendar, enter the person's uniqname; for example, https://exchange.umich.edu/exchange/bjensen/calendar.
    • For a resource calendar — such as a room, departmental calendar, and equipment — use the Resource's alias name.

Exchange Server 2007

    REQUIRES WINDOWS INTERNET EXPLORER 6 OR LATER: Microsoft limited the availability to view shared calendars to OWA Premium, which requires Internet Explorer 6 or later. Therefore, Macintosh users cannot access shared calendars using Outlook Web Access. You can, however view these calendars using Entourage 2004 or 2008.

    Exchange Server 2007 created two different categories of shared calendars: people and resources — such as rooms, departmental calendars, and equipment. You access people and resources using different addresses.

    People

      Enter the following URL into Internet Explorer. If you are not already logged in to OWA, you'll receive the login window first.
      HINT: After you've connected to the person's calendar, bookmark or add it to your Favorites.

        https://exchange.umich.edu/owa/<uniqname>@umich.edu/?cmd=contents&f=calendar

      Replace <uniqname> with the person's uniqname. For Barb Jensen (bjensen), enter https://exchange.umich.edu/exchange/bjensen@umich.edu/?cmd=contents&f=calendar.

    Resource

      Enter the following URL into Internet Explorer.
      NOTE: If you are not already logged on to OWA, you'll receive the login window first. Use your uniqname and your Exchange password, not the shared calendar name.

      HINT: After you've connected to the resource calendar, bookmark it or add it to your Favorites.

        https://exchange.umich.edu/owa/<resource's-alias-name>@adsroot.itcs.umich.edu/?cmd=contents&f=calendar

      Replace <resource's-alias-name> with the resource's alias name . For example, ITCS Conf Room 2036 has an alias name of conf-rm-2036, enter

Exchange Server 2003

  1. In OWA, click the Address Book icon.

  2. In the Find Names window:
      Address Book window
    1. In the pull-down menu, make certain Global Address List is selected.
    2. In the Display Name field, begin entering the resource's name.
      HINT: Resource names start with the school's or unit's name in which they are located. To find a resource in the School of Information, begin by entering si; to find a resource within ITCS, begin with itcs.
    3. Click Find.
    4. In the results section, scroll through the list and select the resource you want.
    5. Read the resource's alias name.
      HINT: You may need to scroll to the right.

Exchange Server 2007

  1. In OWA, click the Address Book icon.

  2. In the Address Book window:

    1. Make certain Default Global Address List is selected.
    2. Begin entering the resource's name.
      HINT: Resource names start with the school's or unit's name in which they are located. To find a resource in the School of Information, begin by entering si; to find a resource within ITCS, begin with itcs.
    3. Click the Search icon.
    4. In the results section, scroll through the list and select the resource you want.
    5. In the right section, read the alias name.
