Entourage FAQ: Preventing Data Loss

I'm increasing my quota or getting an Exchange Voice Mail account. Do I need to do anything?

Microsoft acknowledges Entourage users could potentially lose their e-mail, calendar, and other data when their mailboxes are moved. That happens when you:

  • increase your Exchange quota
  • start using Exchange Voice Mail
Microsoft details the issue in Knowledgebase article 909574 The following information is adapted from that document.

USING ENTOURAGE 2008? Microsoft says that Entourage 2008 works much better with Exchange. The data loss issue appeared in Entourage 2004, and we hope that Microsoft fixed the issue with the 2008 release. However, even if you use Entourage 2008, you should consider following these steps.

To prevent data loss, before your mailbox is moved:

  1. With Entourage running and your Mac connected to the Internet:

    1. under the Help menu, select Check for Updates.
    2. in the Microsoft AutoUpdate window, click Check for Updates and follow the prompts.
  2. Quit Entourage.
  3. Disconnect your computer from the network by:

    1. removing the Ethernet cable, if present.
    2. turning off Airport in your Mac's Network control panel in System Preferences.
  4. Start Entourage.
  5. Under the Entourage menu, select Account Settings.

    1. ENTOURAGE 2004 ONLY: In the Accounts window, click the Exchange tab.
    2. Select your Exchange account and click Delete.
    3. In the confirmation window, click Delete.
      MULTIPLE ACCOUNTS? If you have more than one Exchange account, delete each one.
    4. Quit Entourage.
    5. Reconnect your computer to the network. Don't forget to turn Airport back on.
    6. Restart Entourage.
  6. Follow the instructions in Setting Up Entourage/Exchange on a Macintosh (S4328) to recreate your Exchange account.
  7. Repeat step 6 for each Exchange account you want to replace.
